Power Automate: Beginner's Guide to Automation
Microsoft Power Automate is the cornerstone of low-code automation in the Microsoft 365 ecosystem. With this tool, you can automate repetitive tasks without deep coding knowledge — from simple email notifications to complex, multi-step approval processes.
What is Power Automate?
Power Automate (formerly Microsoft Flow) is a cloud-based service that enables the automation of workflows between your favourite apps and services. Over 1,000 connectors are available — including Microsoft 365, SharePoint, Teams, Dynamics 365, Salesforce, Google Workspace, and many more.
The Three Flow Types
1. Automated Flows
Start automatically when a specific event occurs — for example, when an email with a certain subject arrives or when a new item is created in a SharePoint list.
2. Instant Flows
These flows are started manually — with a button click in the Power Automate app, in Teams, or in a SharePoint list.
3. Scheduled Flows
Run at predetermined times, for example every morning at 8am to generate a report or synchronize data.
Your First Flow: Leave Request Approval
Here’s a simple example: An employee submits a leave request through a Microsoft Forms form. Power Automate automatically forwards the request to the manager, who can approve or reject it via email or directly in Teams.
The steps:
- Trigger: A new Forms submission arrives
- Approval: Send an approval action to the manager
- Notification: The employee automatically receives a response
In under 30 minutes, you’ve built a complete digital approval process.
When is Power Automate Worth It?
Power Automate is worthwhile whenever a process:
- Is repeated (daily, weekly, with every new record)
- Involves multiple systems (e.g. email → SharePoint → Teams)
- Has clear rules (if X, then Y)
