Process Automation for SMEs in Austria
Process automation often sounds like something only large corporations can afford. The reality is quite different: for SMEs in Austria, tools like Microsoft Power Automate and SharePoint Online offer a cost-effective way to automate recurring tasks — without expensive IT projects or large vendors.
In this post, I’ll show you what’s realistically achievable for small and medium-sized Austrian businesses, which typical processes are best suited for automation, and what such a project actually costs.
Why SMEs benefit most from automation
Small and medium-sized companies often don’t have their own IT department. At the same time, employees spend hours each day on manual, repetitive tasks: forwarding emails, transferring form data into Excel, confirming orders, manually routing leave requests.
That’s exactly where process automation comes in. With Microsoft 365 — which many companies already use — these workflows can be automated with relatively little effort.
The good news: You don’t need to buy new software. Power Automate is already included in most Microsoft 365 Business plans.
Typical automation projects for SMEs
Here are some real-world examples I regularly implement for Austrian clients:
1. Approval workflows
Leave requests, invoice approvals, or internal orders are automatically routed to the responsible person, with a reminder after X days and an automatic email confirmation.
2. Form-to-SharePoint integration
Customer data from a web form or Microsoft Forms is automatically stored in a SharePoint list and a notification is sent to the responsible team.
3. Document workflows
When a file is uploaded to a specific SharePoint folder, it’s automatically renamed, moved to the right location, and all stakeholders are notified.
4. Teams notifications
When new entries appear in a list, customer inquiries arrive, or critical events occur, the right people instantly receive a message in Microsoft Teams.
5. Automated reporting
Daily or weekly reports are automatically generated from SharePoint data or Excel files and sent by email.
What does an automation project cost?
This depends on scope — but to give you a realistic estimate:
Simple flows (e.g. email notification when a new form entry is submitted):
- Effort: 2–4 hours
- Cost: €200–400 (at a freelancer day rate)
Medium projects (e.g. multi-step approval workflow with Teams integration):
- Effort: 1–3 days
- Cost: €800–2,400
Complex solutions (e.g. full SharePoint intranet with multiple automated processes):
- Effort: 1–3 weeks
- Cost: €4,000–15,000
One key advantage of project-based collaboration with a freelancer: you only pay for what you actually need — no fixed costs, no ongoing contracts, no overhead structures.
What do I need to get started?
For most Microsoft 365 automations, a Microsoft 365 Business Standard or Premium subscription is sufficient. Power Automate is included. For advanced flows (e.g. with premium connectors to third-party systems), a Power Automate per User plan may be needed — that’s an additional ~€15/month per user.
No technical knowledge is required on your end. My job is to design and implement the automations. Your team just needs to use them.
How does a project with me work?
- Free initial consultation (30–60 minutes, remote): We discuss which processes cost you time and where automation potential exists.
- Analysis and proposal: I provide a concrete assessment with effort estimate and fixed price (or time-and-materials estimate).
- Implementation: I build the solution, test it, and document it.
- Handover and support: I walk you and your team through how everything works and remain available for questions.
Conclusion
Process automation is not a luxury for large corporations — it’s one of the most effective measures an SME in Austria can implement quickly. With the right tools and an experienced freelancer by your side, you often see the first results within days.
