SharePoint Automation with Power Automate

SharePoint Online is the central document management system for many organizations. But SharePoint only reaches its full potential when manual steps are replaced with automation. In this article, I’ll show you what that looks like in practice.

The Most Common SharePoint Processes That Can Be Automated

Almost any interaction with SharePoint can serve as a trigger for a workflow:

  • A new document is uploaded to a library
  • A column in a list is changed
  • A list item changes status
  • An approval field is filled in

Example: Automated Document Approval Process

In many organizations, the approval process for contracts or reports still runs manually — someone sends an email, follows up via Teams, and eventually loses track. With Power Automate and SharePoint, this can be fully digitized.

The flow:

  1. Document is uploaded to a SharePoint library
  2. Flow detects new document → sends approval request to a defined approver
  3. Approver receives email and Teams message with Approve/Reject button
  4. After the decision: document is automatically moved to “Approved” or “Rejected”
  5. Uploader receives a notification with comments

Result: Instead of multi-day email chains, the process is completed within hours — fully traceable and documented.

Automatically Populating Metadata

Another common use case: maintaining SharePoint metadata manually is time-consuming and error-prone. With Power Automate, you can:

  • From the filename automatically extract metadata (e.g. customer number from Invoice_12345_2024.pdf)
  • Via OCR (AI Builder) read content from PDFs and write it into columns
  • From other systems pull metadata (e.g. from Dynamics 365 or SAP)

Versioning and Audit Trail

Power Automate can record every step in a separate log. This gives you a complete audit trail at all times — important for compliance and ISO certifications.
