AI Agents for SMEs with Microsoft 365 (2026)

AI agents are the hottest topic in the automation world — and for good reason. While classic automation strictly follows “if X then Y” logic, AI agents can make decisions independently, understand context, and work through multi-step tasks on their own.

What does this mean for SMEs in Austria and the wider DACH region? And which tools are genuinely production-ready in 2026?

What is an AI Agent — and What Isn’t?

An AI agent is not a simple chatbot, nor a classic automation flow. An agent:

  • Understands the goal (not just the next step)
  • Plans independently which tools to use
  • Responds to results and adjusts its plan
  • Interacts with real systems — email, SharePoint, databases, APIs

An example: instead of a flow that forwards a customer enquiry by email, an agent could understand the content of the request, look up the customer history in CRM, draft an appropriate response, and present it for approval — all without manual intervention.

Microsoft 365: The Natural Starting Point for M365 Customers

For organizations already using Microsoft 365, getting started with AI agents is a natural step — the infrastructure is already in place.

Microsoft Copilot Studio

Microsoft Copilot Studio is the central platform for building custom AI agents within the M365 ecosystem. Previously known as Power Virtual Agents, the platform was massively expanded in 2025 and 2026.

What Copilot Studio can do:

  • Create agents based on SharePoint data, CRM content, and internal documents
  • Seamless integration with Microsoft Teams, Outlook, and SharePoint
  • Low-code interface — no programming knowledge required
  • Connection to external APIs via Power Automate connectors

Cost: Copilot Studio is included in Microsoft 365 Copilot licences (~€30/user/month) or available as a standalone add-on.

Power Automate: Autonomous Flows as Agents

As I described in my article on the Power Platform 2026 updates, Microsoft has integrated autonomous AI agents directly into the Power Automate flow builder. Flows can now make decisions independently and resolve exceptions on their own.

This is particularly interesting for:

  • Incoming invoice processing (agent reads, validates, routes)
  • Customer support triage (agent categorises and prioritises requests)
  • Contract management (agent monitors deadlines and initiates renewal processes)

Azure AI Foundry for Complex Requirements

For organizations with specific requirements — such as custom language models or complex multi-agent architectures — Azure AI Foundry provides the technical depth. For typical SMEs, however, this is usually overkill.

The Best Alternatives Outside Microsoft

Not every business is deeply invested in the Microsoft ecosystem. Here are the strongest alternatives:

n8n — Open Source, Self-Hosted

n8n is an open-source automation tool that, with its AI nodes, now enables fully-fledged agent workflows. The key advantage: you can self-host n8n — your data stays with you.

Strengths:

  • No licence costs (self-hosted)
  • Native AI integrations (OpenAI, Anthropic, Gemini)
  • Very flexible and developer-friendly
  • Active open-source community

Weaknesses: Requires more technical knowledge than Microsoft tools. No native Teams/SharePoint connector at the depth of Power Automate.

Make (formerly Integromat)

Make is a powerful no-code automation platform with a growing AI feature set. Particularly good for businesses that want to connect many different SaaS tools — Make offers over 1,500 connectors.

Strengths:

  • Excellent workflow visualisation
  • Wide connector library
  • Good value for money

Zapier + AI Actions

Zapier with the new AI Actions makes it possible to embed AI steps directly into existing Zaps. Easy to use, but quickly hits its limits with more complex agent logic.

Flowise for Developers

For organizations with technical resources, Flowise provides a visual interface for building LangChain-based agents — including RAG (Retrieval-Augmented Generation) for internal knowledge bases. The most powerful tool on this list, but requires developer expertise.

My Recommendation for SMEs

For the typical Austrian SME already using Microsoft 365, Copilot Studio is the natural first step. The integration is seamless, the learning curve is manageable, and data stays within the familiar Microsoft cloud environment.

Conclusion: Getting Started Right

AI agents in 2026 are no longer a future topic — the tools are mature enough for production use. The key is not choosing the most technically sophisticated tool, but the one that fits best with your existing infrastructure and specific use cases.
